Austin Regional Clinic Optimizes Provista Contracts to Support Rapid Growth

As a prominent healthcare provider in Central Texas, Austin Regional Clinic (ARC) is experiencing significant growth. This growth has spurred the opening of two new ambulatory surgery centers combined with specialty clinics, expansion into advanced radiology at two locations, and one to two new primary care clinics over the next two years.

As part of this expansion, ARC is leveraging its strategic partnership with Provista to streamline building operations, tap into industry-leading capital equipment contracts and utilize Provista’s medical equipment planning services to save money and simplify processes.

Based in Austin, Texas, ARC provides comprehensive, coordinated multispecialty healthcare services throughout Central Texas. It’s unique to the area because of its widespread locations, convenient services and quality assurance programs.

MEETING THE CHANGING NEEDS OF THE COMMUNITY

ARC has built a reputation for growing alongside the city of Austin to meet its evolving healthcare needs. For example, when ARC learned Samsung was building a facility in the area, it expanded its services to meet the needs of Samsung employees and their families.

“ARC does a fantastic job of growing with the community,” says Brenda Breffle, director of purchasing for ARC.

In response to Austin’s population increase and demand for advanced healthcare services, ARC is building new surgery centers in both the north and south parts of the city. The first is slated to open in Q4 2025, followed by the second in Q1 2026. In addition, ARC is implementing state-of-the-art equipment for surgeries along with CT and MRI services at some of its other facilities, and is expanding two of its daytime/after hours clinics to provide expanded radiology services.

Provista’s Medical Equipment Planning service plays a key role throughout all phases of construction projects including equipment planning, procurement and logistics for capital medical equipment.

“We’re using Provista for our equipment planning,” says Breffle. “We’re working directly with our Provista equipment planners, architectural team and vendors to assure that our facilities are set up correctly and can accommodate our projected case volumes.”

LEVERAGING EXPERIENCE TO SIMPLIFY BUILDING PROCESSES

Breffle and other ASC stakeholders oversaw a meticulous planning process in collaboration with Provista team, ensuring equipment requirements are met, align with budget estimates and meet efficiency standards. This collaborative approach streamlines complex logistics and ensures proper setups.

Provista’s expertise enables ARC to handle the specifics of medical equipment planning, including design coordination of voltage needs for MRI machines and other critical devices. For example, Bret Sanders, one of the Provista equipment planners working with Breffle, has supported more than 200 similar projects, bringing invaluable insights to ARC.

“His knowledge really helps us. Provista has also provided a customized equipment list based on our specific procedures, which include both mobile and fixed equipment requirements,” Breffle explains. “Through Provista reps’ close coordination with vendors, we have gone beyond mere recommendations to having cut sheets and detailed electrical needs presented to us for each equipment item.”

This guidance allows ARC to plan confidently, knowing each piece of equipment will be fully integrated with the building design. According to Breffle, “Provista equipment planners are working directly with the architectural team and the vendors to assure that everything is set up correctly.”

Provista expertise and contracts also help ensure advantageous terms and conditions for members. For instance, ARC utilized a Provista contract that included no freight charges for purchased items, which delivered welcome savings.

CONNECTING CONTRACTS FOR OPTIMAL VALUE

Cost efficiency remains central to ARC’s operational strategy. Provista supports this goal by offering a range of contracts with competitive pricing.

“By comparing Provista contracts, we ensure that we’re getting the best value,” Breffle notes. “Having these contract comparisons enforces our decision-making process, helping us evaluate vendor offerings against our budget and operational needs. For example, when we look at our sterile processing department, The Provista Capital Equipment consultants have access to better pricing for those needs than we can get otherwise. We can access that pricing tier and save.”

By leveraging Provista contracts for STERIS medical products, for instance, ARC achieved savings beyond published contracted prices. In addition to immediate cost savings, the partnership with Provista enables rebates that directly benefit ARC’s bottom line.

“We’ve connected more contracts through Provista and as a result, achieved a higher rebate tier, which helps with our annual cost savings initiatives,” Breffle says. “We’ve started growing and connecting all of those contracts and now our rebates have more than doubled in the last two years.”

SAVING MONEY ON A DAILY BASIS

Provista offers contracts to meet ARC’s needs, from clinical supplies, pharmacy vaccines and med-surg items to new implementations like electric vehicle (EV) charging stations and IT hardware. Likewise, contracts cover infrastructure and building needs, such as flooring and HVAC systems.

Provista provides ARC with a recommended list of equipment with suppliers’ model numbers, part numbers and additional details for items that are needed. “This really reinforces our decision-making process because we can look at different vendors,” Breffle says.   

ARC recently purchased two mammogram machines through a Provista contract and achieved significant savings. It’s now looking to move more purchases to Provista.

“We’re trying to move all of our office furniture to a new distributor and bring all that spend back to Provista. Provista is helping us by connecting our contracts,” Breffle says. “I think that’s the biggest thing—we’re accessing the contracts we need, which overall saves us money every day.”

HAVING A VOICE IN PROVISTA CONTRACTS

Breffle is a member of Provista’s non-acute council— a role that gives her an opportunity to collaborate with members of healthcare organizations to share issues and discuss solutions.

“We talk about the challenges we’re seeing in the market or even challenges with supplies,” she says. “It’s good to collaborate with other organizations and get a better understanding of what their processes are like. And perhaps by sharing those processes, maybe our organization can improve upon our own processes.”

Being on the council also allows Breffle to advocate for new contract categories, such as water purification systems required for sterile processing. It also keeps ARC connected to emerging cost-saving opportunities. Similarly, Breffle attended a summit in September hosted by Provista contracting partner Vizient and found tangible value in the event.

“I recommended our CEO attend the summit next year because I think we’re not taking advantage of all of the opportunities that are provided by Provista,” she explains.

Using Provista partnerships, expertise and diverse contracts has helped improve ARC’s ability to manage project timelines effectively, procure high-quality equipment and ensure facilities are built to meet patient needs. “Provista helps us with our cost savings initiatives each year. We have a goal of what we’d like to save, and we really strive to access Provista contracts in every category,” she says. “That will help us achieve our annual savings goal.”
